How To and Best Practices

A professional greeting clearly identifies your business and sets expectations for callers. A strong greeting should:

  • State your business name immediately
  • Thank the caller for contacting you
  • Explain what will happen next, such as hours or wait expectations
  • Offer an option to reach a live person or leave a voicemail

Use a template from Snap Recording’s Script Examples page as your starting point, then polish it with Snappy for AI-assisted improvements if you have Phonzai or add proofreading at checkout for RealVoice orders for a professional human touch.

An effective IVR greeting or auto attendant menu routes callers quickly to the right place and is simple to follow.
Best practices include:

  • State your business name and any required compliance messages at the start of the main menu.
  • Put the most common options first so callers don’t wait through less-used choices.
  • Avoid long lists of options. If you need more than 5–6 choices, use sub-menus so callers only hear the options relevant to their needs.
  • Keep each option short and direct, such as “For Sales, press 1” or “For Customer Service, press 2.”
  • Offer a path to a live representative for callers who need personal assistance.
  • Match menu wording to your website and brand, so callers hear consistent language across channels.

Your business sounds more polished when you use consistent greetings, clear and confident voices, and avoid low-quality or DIY recordings. Choose custom, properly licensed music that reflects your brand instead of relying on generic default hold music from your phone provider.

Use RealVoice for premium human narration and Phonzai when you need fast scalable updates.

An effective on hold message combines helpful information with smooth pacing and licensed music.

A strong message usually:

  • Shares hours, services, promotions, or common questions
  • Uses short 10 to 30 second segments
  • Runs as long as your average hold time—typically 2 to 3 minutes minimum before repeating
  • Blends voice announcements with on hold music that reflects your brand identity
  • Messaging is tailored for the target audience - for example, offer self-service options in a technical support queue or highlight promotions and new services in a sales queue.

Choose music that fits your brand and is comfortable for repeated listening. Always use properly licensed music.

Examples include:

  • Calm tracks for financial institutions
  • Gentle music for healthcare
  • Upbeat but controlled tracks for retail or hospitality

Choose from thousands of pre-licensed tracks from Snap Recordings’ music library.

Think of your voicemail as your business’s safety net - ensuring callers have a positive impression even when your team is unavailable, while reliably capturing the information you need to follow up.

A professional voicemail greeting should:

  • Clearly state your name and your business name
  • Acknowledge that you missed the call
  • Request the key information you need from the caller
  • Let the caller know when they can expect a return call
  • Optionally, provide an alternative contact method
To avoid dropped calls, Snap Recordings recommends keeping voicemail messages as brief as possible.

It depends on your business needs.

  • AI voices, like, are ideal for fast updates, frequent content changes, large deployments, or multilingual messaging. They let you create professional phone messages quickly, scale easily, and respond to unplanned changes like weather emergencies or last-minute promotions instantly.
  • Professional voice talent delivers authenticity, emotional nuance, and a consistent long-term brand voice. Real voices are especially effective for longer messages or when you want a polished, personable caller experience.

Many businesses combine both approaches—using AI for speed and flexibility, and professional voice talent for brand consistency and engagement. Snap Recordings provides both options, RealVoice and Phonzai, giving you the flexibility to choose the right mix for your phone system.

Your on-hold message may be contributing to caller frustration if callers frequently hang up, comment on repetitive or unpleasant music, or hear outdated or inaccurate information. Inconsistent volume levels, abrupt transitions, or mismatched message segments are also common warning signs.

Refreshing your on-hold messages with up-to-date messaging and custom licensed music can significantly improve the caller experience and reduce frustration.

A Phonzai seat enables an invited team member to use the features included in your Phonzai account.

Each seat can be assigned a specific role—such as viewer, or admin—which determines what they can access and do in your account. Adding more seats lets additional team members log in, collaborate on projects, manage messages, and maintain consistent branding across your organization.

This flexibility ensures that the right people have the right permissions, improving workflow efficiency and team coordination.

Learn how Snap Recordings can help you update your on-hold messages.
